Office Manager
You'll keep the office running — scheduling, vendors, documents, and team support. Billing, insurance certs, truck logs, and the details that let PMs and supers stay on site instead of chasing paperwork.
$25 – $30+ / hour·On Site — Vancouver, WA·Full-time
What You'll Do
Your day-to-day responsibilities in this role.
- Manage office operations: phones, mail, supplies, and vendor accounts
- Support AP/AR: invoice routing, lien waivers, and sub compliance docs
- Maintain employee and job files; help with onboarding and HR admin
- Coordinate meetings, travel, and equipment for field staff
- Order inspections and keep inspection schedules moving with the field team
- Track insurance, licenses, and safety documentation renewals
- Order materials and small tools when PMs request — track receipts
- Be the calm hub when three jobs need answers at once
What We're Looking For
The skills and experience we consider essential.
- 2+ years in office management, construction admin, or operations
- Strong written and verbal communication
- Comfort with QuickBooks or similar accounting workflows
- Detail-oriented — you catch the missing signature before it costs us
- Proficient in Google Workspace and basic Excel
- Professional, steady demeanor with owners, subs, and crew
Nice to Have
Bonus points — not required, but they'll help you hit the ground running.
- Construction or real estate admin experience
- AutoCAD experience
- Ability to read plans, send plan sets to contractors for bidding, verify bids, and input numbers into a bid sheet
- Familiarity with Procore or project management software
- Experience supporting a field-heavy team
